Helen Keller International is a non-profit, international non-governmental organization whose mission is to save the sight and life of the most vulnerable and disadvantaged> It fights against the causes and consequences of blindness and malnutrition by establishing data-driven programs and conducting research around vision, health and nutrition. Present in Cameroon since 1992, we intervene more specifically in the fight against Neglected Tropical Diseases and malnutrition. To carry out our objectives, we are launching a call for candidates for the recruitment of a “Receptionist”.

Supervisor : Human Resources & Administrative Coordinator

Type of contract : Fixed-term contract

Duration of the contract : 1 year renewable

Place of performance of the contract : Yaoundé

Responsibilities  :

The Receptionist will provide effective support for welcoming visitors, managing letters and documents relating to the implementation of the programs. He / she will coordinate the internal and external communication flow and provide administrative support to the staff and will serve as the administrative interface between the Country Director and the other departments.

Key areas of responsibility:

Reception / Reception

  • Welcome and orient visitors well;
  • Ensure the reception and monitoring of the smooth running of the stay of visitors to the office.

Secretariat / Communication 

  • Provide basic and accurate information in person and by phone / email
  • Ensure that the space reserved for reception is stored;
  • Receive, sort, record, stamp the documents received, and transmit them to the Director;
  • Ensure the transmission of documents to staff according to the instructions of the hierarchy
  • Ensure that documents are classified and archived in accordance with procedures;
  • Write or contribute to the writing of the various correspondences;
  • Ensure the distribution of outgoing mail in collaboration with the hierarchy;
  • Manage phone calls (answer, route and take messages correctly) from the office; 
  • Update the updated telephone list;
  • Send mail or courier.

Organization of meetings

  • Provide support for the organization of the various meetings;
  • Assist Programs in the management and planning of meetings and meetings;
  • Manage the occupation of the meeting room;
  • Track reservations for meetings and travel;
  • Organize the Country Director's meetings;
  • Establish and format the staff mission orders;
  • Manage hotel reservations for staff during missions;
  • Coordinate staff travel within the city in collaboration with the Logistics Manager;
  • Perform any other duties that may be assigned from time to time.

Receptionist Requirements

  • University degree or two-year university certificate (eg BTS-DEUG) in business administration, logistics, law, management, secretarial and office automation;
  • Have at least 2 years of experience as a Receptionist, similar role deemed relevant;
  • Strong written and verbal communication skills
  • Practical experience with office equipment such as photocopiers, scanner, computer, printers etc.)
  • Excellent organizational skills
  • Multitasking and time management skills, with the ability to prioritize tasks
  • Have a good command of French. Fluency in English would be an asset;
  • Computer skills (Mastery of Microsoft Office)

Receptionist skills and qualifications

Telephone skills, Verbal communication, Microsoft Office skills, Listening, Professionalism, Customer orientation, Organization, Informing others, Pressure handling.
